Put the right record behind the QR code.

A QR code is a route into information. Decide who it serves and what it opens before putting it on the building.

A useful QR code answers a simple question: what should this person be able to reach from here? A resident looking for their home guide and an operator checking a building record are different audiences. Give them different routes rather than one link to everything.

Choose the audience first.

The resident route opens a home’s shared resident documents without requiring an app or account. That convenience depends on the scope being right. Review the accepted documents intended for the resident pack before sharing the link. Do not include private project correspondence simply because it belongs to the same building.

The operator route opens the relevant building pack within AssetDrive. It requires sign-in and the appropriate project access. A person scanning the plaque should understand that they are entering the operator’s project record, rather than a public resident page.

Check the destination.

Generate the link or print material for the actual home or building. Confirm the displayed identity, the intended pack and the documents it exposes. A code that scans successfully can still open the wrong home, an inaccessible project or a record that is not ready to share.

Test the resident route in a session without your project access. Test the operator route with the permissions the intended operator will hold, including the sign-in step. Review the documents themselves, not only the page title. Use an actual approved record rather than illustrative demonstration data.

Print for the place it will live.

Choose the relevant home insert, sticker or building plaque available in the product. Keep a readable building or home identifier alongside the code so a person can check the destination. Make a physical test print at the intended size and scan it from the distance and lighting in which it will be used.

Place it where the intended audience can reach it and where the label can be maintained. Avoid shrinking the code into decorative artwork or obscuring it with another mark. Keep a record of which printed material belongs to which destination.

Plan for change.

Check access again when an operator changes or resident information is updated. If a link is withdrawn or replaced, update the distributed material as well. Confirm the product’s current sharing and access arrangements before relying on a link for long-term availability.

The QR code helps someone reach the record. The value comes from the correct information, appropriate access and the people keeping that record useful.
