Prepare a handover the next team can use.

Connect what is required, what has arrived and what the receiving team will actually be able to access.

A handover is easier to prepare when the required information is visible during delivery. Start with the buildings and homes being transferred, the parties receiving them and the records they need. A single scheme may complete in several stages; keep the scope of each handover explicit.

Understand what is owed.

Use the contract, reviewed project facts and relevant planning records to establish the document requirements. AssetDrive can extract contract obligations into tracked records and preserve source references. Inspect a representative obligation alongside the clause that created it. Resolve uncertain parties or dates instead of letting an assumed value disappear into the schedule.

Keep the basis of each requirement understandable. A contract clause, planning condition and regulatory reference are different sources. A linked decision notice should be read in its context; a document appearing in the project is not proof that a condition has been discharged.

Collect against the requirement.

Ask contributors for the relevant evidence, with enough building or home context to place it correctly. O&M information, warranties, drawings and certificates should connect to the records they answer. Check the document version and review status as well as whether a file is present.

Decide who reviews each type of evidence and how a revision returns to the supplying party. A document can be received without being accepted. Keep that distinction visible so the receiving team does not have to reconstruct it from email history.

Check what the recipient receives.

Review the actual handover scope and the versions included. Follow a few records from requirement to file and source, then inspect the recorded acceptance or export available for that handover. Describe any outstanding information openly, including who will provide it and the agreed next step.

Residents and operators need different access. A resident link or QR should expose the home’s shared resident documents. An operator QR leads to the relevant building pack inside AssetDrive and requires sign-in. Test both routes with the intended audience’s permissions before distributing links or printed material.

Leave a record that can continue.

Confirm who will maintain the information after transfer. New certificates, replacements and changes should return to an understood record, rather than start another disconnected archive. A recorded handover supports that continuity; it does not certify that every legal or contractual obligation has been fulfilled.
